When a university IT director and a first-year student both ask about Apple education pricing, they’re asking about entirely different things. The student wants to know how to buy a MacBook at a discount for personal use. The IT director wants to know how to equip 400 staff members with iPads for a new academic year. Here’s the part that catches institutions out. For most users at institutions with recognised email domains, verification is straightforward.
Annual purchase limits apply. Individual buyers can purchase a limited number of devices per year at education pricing, which is designed for personal use. And this is the critical point for institutional buyers: Apple’s own terms state clearly that individual education pricing is not for resale, institutional procurement, or bulk purchasing on behalf of a school, government entity, or organisation. Attempting to use individual pricing for fleet procurement isn’t just against the terms. It’s a channel that physically can’t scale.
Institutional Procurement: The Correct Channel for Schools and Universities
US schools and universities buying Apple devices at scale for staff or student programmes should use Apple’s institutional education channel, which operates through authorised Apple resellers and directly through Apple’s education sales team.
Apple maintains an institutional education price list, updated regularly, that covers Mac, iPad, and accessory configurations with education-specific pricing. These prices differ from individual Education Store pricing and are structured for volume orders, bundled with support and device management options. The most recent institutional price list was updated in July 2026.
Apple School Manager (ASM) is the institutional equivalent of Apple Business for education. It’s Apple’s free web-based platform that allows schools and universities to manage device enrolment, distribute apps and content, and create Managed Apple Accounts for students and staff. Where Apple Business serves enterprises, ASM serves educational institutions. Any US school or university deploying Apple devices at scale should be set up in ASM before devices are ordered. Devices purchased through an authorised Apple reseller can be linked to the institution’s ASM account at the point of purchase, enabling Automated Device Enrollment (ADE, meaning devices configure themselves automatically when first powered on without requiring IT to touch each device individually).

Each year Apple runs a limited Back to School promotion layered on top of its year-round individual education pricing. In 2026, the US promotion ran from July 16 through September 24, offering gift cards of up to $150 with qualifying Mac or iPad purchases through the Education Store.
This promotion is relevant to individual students and staff making personal purchases. It’s not relevant to institutional procurement. Schools planning fleet deployments shouldn’t time those deployments around the Back to School promotion, because the institutional channel and the individual promotion are separate programmes serving different purposes.
What institutions should pay attention to is Apple’s product refresh cycle. Apple periodically updates its Mac and iPad lines. Timing a large institutional purchase ahead of a product refresh, when the outgoing generation is still available at stable pricing, can offer better value than purchasing immediately after a new model launches and supply is tightest.
